Getting your statement out of PayPal

PayPal offers two distinct exports: formal monthly statements and a far more detailed Activity Download report you build yourself with custom date ranges and formats. The Activity Download is the richest export of any money app, with dozens of selectable columns including gross, fee, and net amounts per transaction.

Download an Activity report (custom date range, CSV)

  1. Log in to PayPal on the web and open your Activity/History section.
  2. Use the download option (or go to Reports > Activity download on business accounts).
  3. Choose the transaction type — 'Balance affecting' covers payments that moved money.
  4. Set your date range (up to 12 months per request).
  5. Pick CSV as the format and create the report, then download it when it finishes.

Small reports generate immediately; large history logs can take up to 5 business days.

Download monthly statements

  1. Log in on the web and go to paypal.com/reports/accountStatements.
  2. Click Request next to the month you want.
  3. Download the statement once it's prepared.

PayPal Credit / PayPal card statements

  1. From your account, open the PayPal Credit or card tile.
  2. Select Statements.
  3. Choose the month and download.

Menu wording shifts between app versions; the destinations above stay stable — confirm against PayPal's official help. Statements up to 5 MB / 5,000 rows are supported; card numbers are redacted before storage, the original file is deleted within 24 hours, and reports stay in your dashboard only as long as your plan keeps them.

What PayPal gives you natively

PayPal supports PDF, CSV, TAB, Quicken (QIF), and QuickBooks (IIF) downloads. The Activity Download CSV is the detailed one: default columns include Date, Time, TimeZone, Name, Type, Status, Currency, Gross, Fee, Net, From and To Email Address, Transaction ID, Reference Transaction ID, Receipt ID, Balance, Subject, Note, address fields, Payment Source, Card Type, and Balance Impact — and PayPal documents 87 selectable fields in total. A CSV or TAB report maxes out at 50,000 records; anything larger is split into multiple files delivered as a ZIP.

How far back you can go

PayPal officially lets you download transaction activity for up to the past 7 years, in requests covering up to 12 months of activity at a time. That makes PayPal one of the deepest official history windows among money apps — you just may need to run several 12-month reports to cover it all.

PayPal statement quirks worth knowing

  • On your bank or card statement, PayPal purchases usually appear as 'PAYPAL *MERCHANT' — the merchant name rides behind the PayPal prefix, which is why unrecognized charges are so common.
  • Inside the Activity CSV, every transaction carries Gross, Fee, and Net columns — for sellers, the amount that hit the balance (Net) differs from what the customer paid (Gross), and reconciling against a bank deposit means using Net.
  • P2P transfers, merchant payments, currency conversions, holds, and refunds all share one file, distinguished only by the Type and Balance Impact columns — filtering by 'Balance affecting' when you build the report keeps memo-only rows out.
  • Currency conversions appear as paired rows (one out, one in), so a single foreign purchase can show as three lines in the CSV.
